Background

UNOPS projects have, by definition, a definite end date and the project teams are disbanded with many of the members leaving UNOPS either forever or for a short time until they apply for a new position. With the disbandment, key knowledge is often lost and the organisation loses an invaluable asset.​​​​​​​ Therefor, UNOPS longed for a digital product that could help them make internal knowledge sharing more accessible.

Process

The team collaboratively used Design Thinking to explore possible solutions for UNOPS's needs. The designers were central throughout the whole process, which involved research, analysis, idea creation, prototyping and testing stages. The team conducted semi-structured in-depth interviews with UNOPS employees across the world. The project analysed findings that was used as a starting point for the idea and concept development of a chatbot. UNOPS used Google Workspace for file management and files were not shared with the right staff at the right time. Therefore, the chatbot was a helpful solution, as it was integrated with Google Workspace. The virtual chatbot assistant helps employees find, share and store internal information in UNOPS. It reminds and eases onboarding, mid-projects and project handovers. The team recruited relevant test candidates through Askable to test the chatbot prototype. They adjusted the chatbot according to the test results and presented the proposed solution's applicability, feasibility and viability to the customer. ​​​​​​​

UNE

UNE is a gender-neutral virtual assistant integrated into Google Workspace. It helps employees find, share and store internal information in UNOPS. UNE reminds and eases onboarding, mid-projects and project handovers. UNE is a cost-effective human-centred product, fulfilling UNOPS´s internal needs. ​​​​​​​
